Upcoming Special Board Meeting: Electronic Voting (E-Voting) Resolution

The Fiore at the Gardens Condominium Association will be holding a Special Board Meeting on April 28, 2026, at 6:00 PM to consider the approval of a resolution authorizing the use of electronic voting (E-Voting) for Association meetings and elections.

This meeting will be held in a hybrid format at the Fiore Clubhouse and online, allowing residents to attend in the way that works best for them.



What Is E-Voting?

Electronic voting allows homeowners to cast their votes securely online instead of relying solely on paper ballots or in-person voting. This option is permitted under Florida Statute 718.128, provided owners give their consent.


The goal of implementing e-voting is to:

  • Increase participation in Association decisions

  • Provide a more convenient and accessible voting process


Owner Consent Is Required

Participation in e-voting is completely optional.


Owners who wish to vote electronically must:

  • Complete and submit a Consent to Electronic Voting form

  • Submit the form at least 30 days prior to the meeting where they intend to vote electronically


Owners may also:

  • Revoke their consent at any time by submitting a revocation form

  • Ensure revocations are submitted at least 10 days prior to a meeting to be effective for that vote

Consent may also be provided via email, as outlined in the resolution.


How It Works

If approved, the Association may partner with a third-party electronic voting provider to facilitate the process.


Key points include:

  • Owners who consent will receive instructions on how to vote online

  • Voting may still be done in person or by proxy if preferred

  • In the case of multiple votes, the system follows specific rules to determine which vote is counted

  • Electronic voting will be implemented in accordance with Florida law and Association guidelines


Privacy & Disclosures

The resolution includes important disclosures regarding:

  • Use of third-party platforms to administer voting

  • Potential technical issues (such as outages or delivery failures)

  • Owner acknowledgment of risks associated with electronic communication


Personal information used for voting (such as email addresses) will be handled in accordance with the vendor’s privacy policies and applicable regulations.
